    Event Manager

    We are currently looking for a professional Event Manager to organize and run several types of events, such as our annual scientific conference, donor appreciation events, Journal Club, webinars, and panel discussions. It is a part-time job with the potential to become full-time. By organizing the events, the event manager contributes to the company’s efforts to support research on aging by nurturing scientific communication and helps to build a grassroots movement to advocate for rejuvenation biotechnology.

    Qualities of the ideal candidate

    • Bachelor’s degree in Public Relations, Communications, or Hospitality or equivalent experience
    • Event management experience for over 3 years with demonstrable success of running large events (over 200 participants per event)
    • Strong negotiation skills, leadership, and adaptability
    • Excellent communication, marketing, and sales skills
    • Team player abilities, good interpersonal skills
    • Ability to multitask
    • Good time management
    • Proficiency in office software, fast learning of virtual event platforms
    • US resident

    Essential responsibilities

    • Working with the outreach coordinator to develop an annual plan of events
    • Working with the outreach coordinator to prepare plans of organizing events, define budgets and deadlines for other departments that are involved in the organizing, and coordinating their work
    • Coordinating the development of programs in collaboration with the organizing/program committee and coordinating the preparation of pre-recorded content (online events)
    • Researching and selecting a venue (offline) or a partner virtual platform (online) along with suppliers and contractors, negotiating the best deal, and supervising the delivery of services, including transportation and accommodation.
    • Promoting events on social media to ensure ticket sales and high attendance
    • Preparing sponsorship offers and reaching out to potential sponsors and partners to ensure their support
    • Setting up online events in the virtual platform, setting up integrations, and providing all types of participants with access details and support
    • Recruiting, instructing, and leading the personnel required for running the event (volunteers and staff members)
    • Ensuring compliance with health and safety rules of the venue (for offline events)
    • Inviting journalists
    • Coordinating all operations on event days, including proactive prevention and resolution of any issues and scheduling collisions
    • Coordinating video editing and publishing of the recordings
    • Organizing surveys and post-conference analysis of results

    Non-essential responsibilities

    • Assisting in preparing the book of abstracts
    • Assisting in the development of design concepts for events
    • Providing a written report on each event for the annual report of the organization

    Compensation: $1500 per month for ~25 hours per week
