Who You Are
The Administrative Project Coordinator will report directly to the Chief of Administration and will be exclusively responsible for partnering with the Vice President of Scientific Operations as well as the entire Scientific Operations team at the San Diego Institute, and help establish a culture of collaboration within Altos Labs. Act as a thought partner with the VP to determine, prioritize and manage strategic priorities and partnerships
Responsible for managing the administrative aspects for the Scientific Operations team
Manage calendaring, schedules, meetings and appointments
Coordinate conference calls and meetings; prepare agendas, take meeting minutes, and follow up on action items
Assist with planning business trips and support on site
Submit reimbursements and reconcile credit card statements
Help organize the recruiting process for the SDI Scientific Operate team in partnership with the hiring managers and Talent Acquisition team
Organize internal events for the team, including offsites, social events, team meetings etc.
Organize external facing events, e.g. with industrial or academic partners, including academic workshops.
Collaborate with the SDI and Altos admin team on process improvements and operational initiatives
Help organize material transfer and licensing agreement needs for research materials. Partner with internal teams to track status and identify action items.
Skills and Qualifications
6+ years of related experience required in working in an assistant role supporting senior level executives.
Advanced knowledge of Google Workspace and/or Microsoft Office Suite (Word, PowerPoint, Excel, Outlook)
Ability to pick up new processes and technology quickly
Strong organization and multitasking skills with a sense of urgency
Excellent time management and project management skills
Capability of handling sensitive and confidential information with discretion
Approaches new challenges and high-pressure situations with a positive attitude and calm demeanor
Excellent written and verbal communication skills
Innovative, and proactive, thinks independently and doesn't need much supervision or direction.
A natural decision-maker, with an ability to think under pressure and display good judgement.
