An exciting opportunity is available for an experienced Senior Administrative Associate to join Altos Labs. The position requires advanced organizational, administrative, and analytical skills/support. Duties and tasks are complex in nature where considerable judgment, independent action and a high degree of initiative are required in resolving problems and making recommendations. Work is performed under limited supervision. Major responsibilities include maintaining calendars and monitoring commitments, making travel arrangements, budget management, assisting in the preparation of agendas, reports, and assisting with various document tasks. The position requires the ability to work with insight, tact, confidentiality, and diplomacy to deal effectively with individuals at all levels. The group has a heavy workload, with constant deadlines requiring that work be done promptly and with a high degree of accuracy.
Provide administrative support for the Principal Investigator(s)
Manage the calendar and coordinate scheduling, including internal and external meetings, conferences, professional engagements, and travel for the Investigator.
Coordinate domestic and international travel arrangements and prepare detailed travel itineraries
Coordinate and organize laboratory meetings
Assist with correspondence management, presentation development, and serve as a resource for reviewing and proofreading documents from draft form.
Work with HR on visa and appointment issues.
Order and stock office supplies and reconcile monthly purchasing card expenses.
Assist lab staff with onboarding requirements.
Coordinate letters of recommendation.
Process and track reimbursements from multiple sources for Investigator, laboratory members and visiting scientists.
Serve as a liaison between Investigator and administrative offices.
Screen and welcome
Interactions frequently involve contacts outside one's work group and functional organization and often involve complex or sensitive information
Bachelor's degree and/ or 6+ years equivalent experience, preferably in a medical, scientific, academic, or non-profit environment.
Knowledge of scientific terminology, familiarity with research laboratory operations, policies and procedures is preferred.
Excellent computer skills, including use of the Internet and current standard word processing, Google scheduling, email, and spreadsheet programs to produce documents and manage office projects.
Mathematical skills sufficient to reconcile accounts and process reimbursements and honoraria.
Problem-solving skills sufficient to identify issues, conduct research, and develop innovative solutions.
Ability to maintain cooperative working relationships with a broad range of people, including staff colleagues, lab members, faculty, outside agencies and collaborators, and the community.
Demonstrated high productivity and ability to complete work in a timely manner.
Ability to organize work and set priorities, considering the needs of the PI, and the other units/groups involved.
Ability to focus on details to produce accurate, quality work driven by deadlines.
Ability to work in a dynamic environment and with others in a team.
